Import New Custom Products

Import Herb Products

Herb Products are custom products that you create using single herbs and/or premix formulas. This import process allows you to bulk upload multiple herb products at once using a CSV file. You may also create herb products manually if preferred.


Where to Import Herb Products

Navigate to:

Admin > Settings > Data > Import New Data > Herb Products


Getting Started

You can import herb products by using the provided sample CSV file.

Instructions

  1. Download the Sample File

  2. Open the file on your computer

  3. Fill in the required (mandatory) fields

  4. Save the file

  5. Upload the file to add the herb products to your dispensary


Mandatory Fields

The following fields are required for each herb product to import successfully.

  • SKU#

  • Name

  • Status

  • Selling Price

  • Herb Type

  • Name Type

  • Herbs

  • Herbs Quantity

  • Price Type

  • Weight Qty

  • Weight Price

Detailed explanations for each field are provided below.


Field Descriptions

SKU#

An alphanumeric identifier for the product.
Required


Name

The name of the herb product.
Required


Status

The product status. Only the following values are accepted (must be written exactly):

  • Publish

  • Published

  • Pending Review

  • Draft

Required


Weight

The shipping weight of the product. This is used to calculate shipping costs.

Brand

The brand associated with the product.
Optional


Supplier

The supplier associated with the product.
Optional


Description

A description of the herb product.
Optional


Category

The category used to organize the product.

  • To assign multiple categories, separate them using |

    • Example: Abc Cat | Xyz Cat

  • If the category does not already exist, it will be created automatically

Note:
If no category is assigned, practitioners will only be able to find the product by searching.

Selling Price

This field is currently required but not used.
You must enter a value for now, but pricing is controlled through fixed or variable pricing instead.

Required (temporary)


Image URL

A direct URL to an image of the herb product. The system will automatically import the image into your dispensary.

Herb Type

The herb type must already exist in your dispensary and must match exactly as shown in Ingredient Type Settings.

Accepted values (case-sensitive, pluralization required):

  • Raw

  • Granules

  • Tinctures

  • Concentrates

For example, entering granule will fail because it does not match Granules.

Required


Name Type

Defines which naming convention is being used for the herbs listed.

Accepted values (case-sensitive):

  • Pin Name

  • Latin Name

  • Chinese Name

  • English Name

For example, entering pinyin will fail; you must enter Pin Name.

Herbs

Enter the herb or premix formula name exactly as it appears in your dispensary.

Important rules:

  • The name must match the selected Name Type

  • The value is case-sensitive

  • You may include premix formulas, not just single herbs

  • To add multiple herbs, separate them with |

Example:
Gan Cao|Dang Gui|Bai Shao

Herbs Quantity

Enter the quantity for each herb listed in the Herbs field.

  • Quantities must match the order of the herbs

  • Use | to separate multiple values

Example:
9|10|8

Price Type

Defines how the product is priced.

Accepted values:

  • Fixed

  • Variable

  • Variable pricing uses the price per gram from your herb or premix data

Weight Qty

Used only for Fixed Pricing.

Enter the weights or volumes you want to sell, separated by |.

Example:
100|250

The system will automatically scale ingredient quantities based on the formula’s ratio or percentage when different sizes are ordered.

Weight Price

Used only for Fixed Pricing.

Enter the price corresponding to each value in Weight Qty, separated by |.

Example:
35|55
This means:

  • 100ml → $35.00

  • 250ml → $55.00

Best Practices

  • Ensure all herbs and premix formulas already exist in your dispensary before importing

  • Match spelling, case, and naming conventions exactly

  • Use the sample file as a starting point

  • Double-check Fixed vs Variable pricing rules before uploading
