Modify Submitted Orders

Modifying Orders

Dispensary Tree is designed to pre-authorize credit card payments, allowing you to safely modify orders before final payment is captured. When changes are made, the order total and invoice update automatically.

Important Payment Note

  • Pre-authorization is supported only by credit card processors that allow pre-auths

  • Square, cash, and manual credit payments do not support pre-authorization

  • If a payment method does not support pre-auth, modifications may be limited once payment is captured

What Can Be Modified

As long as an order has not been fulfilled, you may modify the following:

Shipping Address

You can update or replace the shipping address associated with the order at any time before fulfillment.

Shipping Options

You may:

  • Change shipping speed (e.g., 2-day to 5-day)

  • Switch shipping carriers entirely

  • Override shipping prices if needed

Shipping costs will recalculate automatically.

Paying Party

You can change who is responsible for payment:

  • Patient

  • Practitioner

If you change payment responsibility from patient to practitioner, a payment link will appear in the practitioner’s account. The practitioner must log in and complete payment.

Modify Formula and Dosages

Before fulfillment begins:

  1. Go to the Preparation tab

  2. Click Edit next to the formula or product

  3. The formula builder will open

  4. Make any necessary changes to ingredients, dosages, or settings

All pricing and quantities update automatically.

Change Item Quantity

You can adjust the quantity of any item in the order, such as:

  • Increasing the number of custom formulas

  • Changing the quantity of products (e.g., ear seed boxes, supplements)

Delete Items

You may remove individual items from the order entirely if they are no longer needed.

Modify Markups

You can:

  • Add a markup

  • Edit an existing markup

  • Remove a markup entirely

Markup types (percentage or fixed) and values can be adjusted at any time before fulfillment.

Discounts

You may:

  • Apply a discount code

  • Remove an existing discount

Order totals will update immediately.

Summary

Order modification is flexible and safe when using supported credit card processors with pre-authorization. As long as fulfillment has not started, admins can adjust nearly every aspect of an order—including pricing, formulas, shipping, and payment responsibility—without needing to cancel and recreate the order.
