List of Email Templates
The following is a list of system email templates and their purposes. Emails are grouped by recipient type.
Admin Email Templates
Admin emails are sent only to the account owner or admin users.

New Registration
Sent to the admin when a practitioner registers for a new account. -
Contact Us
Sent to the admin when a practitioner or patient submits the contact form. -
New Order Received
Sent to the admin when an order is submitted. -
Password Update
Sent to a staff member or admin when their password is changed. -
New Patient Registration
Sent to the admin when a patient registers for a new patient account. -
Inventory Value Report
Sent to the admin when a requested inventory report is ready to view.
Practitioner & Payment-Related Email Templates
These emails are sent to practitioners, patients, or both, depending on who is paying or receiving the order.

Email to Collect Balance
Sent when a balance is owing on an account. -
Balance Successfully Paid
Sent when an outstanding balance has been paid. -
Infosheet Download
Sent when an infosheet is made available for download. -
Invoice Download
Sent when an invoice is generated and available for download. -
Shipping Label Generated
Sent when a shipping label is created in the system. -
Tracking of Package
Sent when a tracking number is manually entered by the admin.
Patient Email Templates
These emails are sent directly to patients.

Sent when a practitioner requests that a patient pay for an order. -
Login / Forgot Password
Sent when a patient’s login details are updated by the admin. -
Patient Verification
Sent to the patient to verify their email address and complete registration. -
Refill Reminder
Sent when the admin triggers a refill reminder for the patient. -
Order Success Payment
Sent as confirmation when a patient successfully pays for an order. -
Password Reset
Sent when a patient resets their password. -
New Patient Registration
Sent when a patient successfully verifies their account. -
Patient Multiple Account
Sent when a patient email address is associated with multiple patient profiles (e.g., family members sharing an email). -
Order Status Update – Ready for Pickup
Sent when an order is marked as ready for pickup and the patient is the recipient. -
Forgot Username
Sent when a patient requests help recovering their username.
Practitioner Email Templates
Depending on the order configuration, some practitioner emails may also be sent to patients.

Sent when a practitioner resets their password. -
New Account Created
Sent when the admin approves a practitioner account. -
Password Change
Sent when a practitioner changes their password. -
Order Status Update – Shipping
Sent when an order status changes to Shipped. -
Order Shipping Details Updated
Sent when shipping details (address or service type) are changed. -
Order Status Update – Confirmed
Sent when an order is manually marked as confirmed. -
Order Status Update – Cancelled
Sent when an order is cancelled. -
Order Status Update – Payment Received
Sent when payment is manually marked as received. -

Sent when an order is manually marked as completed. -
New Registration Success
Sent when the admin manually creates a practitioner account. -
Pay by Patient
Sent to the practitioner when a patient pays for their order. -
New Patient Registration
Sent to the practitioner when a patient verifies their account via an invitation email. -
Order Status Update – Ready for Pickup
Sent when the practitioner is the pickup recipient and the order status changes to Ready for Pickup.
