Patient Refill Management

This page allows admins and practitioners to view and manage refill settings for previously ordered items (formulas or products) associated with a patient. Each row represents an item that was ordered in the past and can optionally be configured for refills.

This view is typically accessed from the patient profile and is used to control refill eligibility, limits, and timing.


Page Overview

The table displays a historical list of ordered items with refill-related controls. It provides visibility into:

  • Which items were ordered

  • Whether refills are allowed

  • How many refills have been used

  • Refill frequency and expiration

  • Quick access to edit refill settings


Table Columns Explained

Order Date

The date the original order was submitted.


Original Order

The invoice or order number associated with the original purchase.
This can be used to reference the full order details elsewhere in the system.


Item Name

The name of the product or custom formula that was ordered.


Refill Allowed

Indicates whether refills are currently enabled for this item.

  • On – Refills are permitted

  • Off – Refills are not permitted


Status

Displays refill usage in the format:

Used / Allowed


Frequency

The minimum number of days required between refills.

Example:

  • 0 Days → No restriction between refills

  • 30 Days → Patient must wait 30 days between refills


Expiry Date

The date after which refills are no longer allowed.


Actions

Edit
Click Edit to configure refill settings for the item, including:

  • Turning refills on or off

  • Setting the number of allowed refills

  • Defining refill frequency (days between refills)

  • Setting an expiration date for refills


Common Use Cases

  • Enable refills for chronic or long-term formulas

  • Limit how often a patient can reorder the same item

  • Prevent refills after a treatment period ends

  • Quickly review refill history for compliance or safety


Notes & Best Practices

  • Refill settings apply per item, not globally.

  • Disabling refills does not remove order history.

  • Refill limits help prevent overuse and ensure practitioner oversight.
