Approve Student Formulas and Products

Supervisors are responsible for reviewing and approving all formulas and products created by students. Until a submission is approved, students cannot add formulas or products to the cart or place an order.


How the Approval Workflow Works

  1. A student creates a formula or selects a product.

  2. The student submits the item for supervisor approval.

  3. The item appears in the Supervisor Review section, which is visible only to supervisors.

  4. The supervisor reviews the submission and either approves or rejects it.

  5. Once approved, the student can add the item to the cart and proceed with checkout.

If a student is associated with multiple supervisors, all supervisors will see the submission, but only one supervisor needs to approve it.


Supervisor Notifications

When a student submits a formula or product:

  • Supervisors receive a notification informing them that an item is awaiting review.

  • Supervisors can also manually review submissions at any time by checking the Supervisor Review section.

Notifications help alert supervisors promptly, while the review section provides a centralized place to manage all pending, approved, and rejected items.


Supervisor Review Section

Submitted items appear in the supervisor-only review area and display:

  • Student name

  • Patient name (if associated)

  • Formula or product details

  • Options to view the item and download the infosheet

From this section, supervisors can take action on each submission.


Approving or Rejecting Items

Approve

  • The item moves to the Approved section.

  • The student can add the item to their cart and continue with the order.

Reject

  • The item moves to the Rejected section.

  • The student must revise and resubmit the item for approval.

Supervisors may change their decision at any time:

  • Approved items can be rejected later.

  • Rejected items can be approved after review.

Important: If an item is approved and later rejected, it may already have been ordered by the student. Supervisors should confirm whether the item has already been processed before rejecting it.


Viewing Approved Items

Approved formulas and products are available to students in the Approved section of the practitioner portal’s left navigation (if enabled).

Supervisors can also:

  • Log in through the Practitioner Portal, or

  • Access their practitioner account in the Admin area, where a Students tab will appear when their account is active.


This workflow ensures strong educational oversight while maintaining patient safety and compliance across all student-generated formulas and products.
