How to Create a Custom Formula

The process for creating a custom formula may vary depending on how your dispensary has configured the system. Some options, steps, or features shown in these instructions may be different, unavailable, or enhanced in your account.

These guides are intended to provide general workflow guidance only. Always follow any clinic-specific procedures or prompts that appear in your version of the software, as your dispensary’s settings take priority.


Choosing a Formula Type

Before creating a custom formula, you must choose the formula type you want to work with. The type you select determines how the formula is built and what options are available (for example, Granules vs. Tinctures).

You can start creating a formula from several places in the system, but the primary entry point is usually found in the left-hand navigation. Depending on how your dispensary is configured, this menu item may be labeled something like Build Formulas, Create Formula, New Prescription, or a similar name.

From that menu, choose the formula type you want to work with:

  • Granule – Used for building custom granule-based prescriptions.

  • Tinctures – Used for creating liquid or extract-based formulas.

  • Raw – Used for traditional loose-herb or decoction-style prescriptions.

  • Concentrate – Used for highly concentrated or pre-blended formula formats.

Depending on the dispensary you are using, you may see additional formula types or a different selection altogether. Each dispensary can enable or disable specific formats based on their workflow and product offerings.

Your selection defines the structure, ingredients, and workflow for the custom formula you are about to create.


Creating a New Granule Formula

The Create New Granule Formula page is where you build a custom granule-based prescription for a patient. This screen guides you through every part of the process—from selecting a patient to defining dosage, ingredients, refills, and pricing.

Note: The layout and available options may vary depending on your dispensary’s configuration. These instructions describe the general workflow.


1. General Details

This section defines the basic identity of the formula.

  • Select Patient
    Choose an existing patient or click + Add a Patient to create a new one.

  • Formula Name
    Enter a clear, recognizable name for the prescription.

  • Dosage Mode
    Choose how the formula will be calculated:

    • Exact Quantity – You define exact amounts.

    • Percentage – Ingredients are based on ratios.

  • Formula Type
    Displays the selected type (e.g., Granule).


2. Formula Options

These settings control how the formula behaves:

  • Ingredients & Measurements – Defines the granule format and premix behavior.

  • Capsules – Enable or disable capsule preparation (if supported).

  • Quantity Received – The total amount of product the patient will receive.

These options affect downstream calculations and fulfillment.


3. Dosage Information

Use this section to define how the patient will take the formula.

  • Enter:

    • Amount per dose

    • Number of doses per day

    • Number of days

The system automatically calculates the total quantity required.

You can also enable Write Your Own Dosage Instructions to manually enter custom directions. These instructions appear on the label and infosheet.


4. Ingredients

This is where you build the formula itself.

You can:

  • Search for individual ingredients

  • Load from:

    • My Formulas

    • Template Formulas

    • Patient Formulas

    • Favorite Formulas

For each row:

  • Select an ingredient

  • Enter its ratio or amount

  • The system calculates:

    • Granule quantity

    • Percentage

    • Cost

Use Add More Rows to include additional ingredients. Totals update automatically as you build.


5. Preparation Details

Preparation instructions appear on the patient infosheet (not on the label).

  • Choose a Preparation Template (optional)

  • Or write custom preparation instructions

These are useful for decoction guidance, mixing directions, or special handling notes.


6. Refill Options

Control how the patient can reorder this formula.

  • Number of Refills – How many times it can be reordered

  • Refill Frequency – Minimum days between refills

  • Refill Expiry – Date when refills stop being allowed

Leaving these blank disables refills for this formula.


7. Your Markup

Set how this formula is priced for the patient.

  • Choose:

    • Fixed Amount

    • Percentage (if enabled)

This markup is added to the base ingredient cost.


8. Formula Pricing

This section shows a live breakdown:

  • Ingredient cost

  • Base price

  • Markup

  • Total Formula Price

All values update automatically as you build.


9. Instructions for Dispensary

Enter internal notes for dispensary staff.

  • These notes are not visible to the patient

  • Use for special handling, packing, or processing instructions


10. Saving Your Formula

At the bottom of the page you will find:

  • Save Formula & Exit – Save and leave the builder

  • Save Formula & Continue Editing – Save and keep working

  • Save & Review Formula – Move to the review screen before ordering

Saving does not place an order. It simply stores the formula for future use. To dispense it, you must proceed to the review and ordering step.


This page is the core of custom formula creation. By moving from top to bottom, you define who the formula is for, what it contains, how it’s taken, how often it can be refilled, and how much it costs—all in one unified workflow.
