The Import & Export section allows you to manage large amounts of data in your dispensary using CSV files. Understanding the difference between Import New Data, Update Existing Data, and Export Data is essential to avoid errors.
Navigate to:
Admin > Settings > Data
Importing new data means the information does not already exist in your dispensary.
Examples of new data:
A brand-new herb
A new premix formula
A new product that has never been added before
New items do not yet have an ID. When you import new data successfully, the system will automatically assign a unique numeric ID to each item.
New data must be uploaded under Import New Data
If you attempt to upload new data under Update Existing Data, it will fail
The system expects no ID when importing new data
If you are receiving errors, double-check that you are importing into the New Data section.
You can import the following as new data:
Categories (Herb, Formula, and Product)
Single Herbs
Products
Herb Products (Custom Products)
Premix Formulas
Inventory / Stock
Supplier Products
Updating existing data is used when the item already exists in your dispensary.
To update existing data:
Export the data to a CSV file
Make changes to the file
Re-import the file under Update Existing Data
Existing data already has an ID, and that ID is required for the system to know which item to update.
Existing data must be uploaded under Update Existing Data
Files uploaded here will contain an ID column
If you try to upload existing data under Import New Data, the system will reject it because new data does not have IDs
You can update the following existing data:
Single Herbs
Products and Product Prices
Herb Products
Premix Formulas
Inventory / Stock Values
Suppliers
Ingredient Prices
Exporting data allows you to download information from your dispensary into CSV files. Exports are commonly used for:
Reporting
Backups
Bulk updates
Audits
You can export the following data:
Single Herb Ingredients
Premix Formulas
Products
Herb Products
Inventory
Formula Templates
Orders
Suppliers
Always confirm whether your data is new or existing before importing
Never remove or modify ID columns when updating existing data
Keep backups of exported files before making changes
Use exports as templates for updates
