Dispensary Setup Guide

Introduction

This guide provides a clear, step-by-step outline to help you set up your dispensary efficiently. If you follow each step in order, the entire setup process can be completed quickly and smoothly.


Setup Overview

To fully configure your dispensary, you will need to complete the following steps:

  1. Create your first practitioner

  2. Add your ingredients

  3. Set your prices

  4. Set up shipping

  5. Set up taxes

  6. Create formula and product labels

  7. Create formula and product infosheets

  8. Add inventory and stock amounts

Each step is explained below with guidance on when it is required and where to find detailed instructions.


1. Create Your First Practitioner

To perform any actions in your dispensary, you must have at least one practitioner.

2. Add Herbal Ingredients

Your dispensary does not come preloaded with herbs or premix formulas. This is intentional, as ingredient usage varies widely and preloading everything would be overwhelming.

You have two options for adding ingredients:

  • Add ingredients manually (best for small catalogs)

  • Import ingredients in bulk using an Excel file (recommended)

We provide an import template so you can quickly upload only the herbs and premix formulas you actually use.

3. Update Prices

Once ingredients are added, the next step is to define pricing.

You can:

  • Set prices individually for herbs and premix formulas

  • Update prices in bulk using pricing tools

4. Set Up Shipping

Decide whether you will ship products to practitioners or patients.

  • If No, you may skip this step

  • If Yes, you must configure shipping options

5. Set Up Taxes

Determine whether you need to charge taxes on herbs and products.

  • If No, skip this step

  • If Yes, configure tax accounts and rules

6. Create Formula and Product Labels

After building custom formulas, your dispensary can automatically generate labels.

  • You must create one label per formula builder

  • This is a one-time setup

7. Create Infosheets

Infosheets are printable documents that accompany formulas or products and may include usage instructions, warnings, and other details.

  • You must create one infosheet per formula builder

  • This is also a one-time setup

8. Set Up Payments

If you plan to collect money from patients or practitioners, you must enable at least one payment method.

If you are using Dispensary Tree only for tracking herbal medicine and do not want to collect payments, you can disable checkout:

  • Go to Admin → Settings → Orders

  • Toggle Practitioner Checkout to OFF

9. Add Inventory and Stock Amounts (Important)

⚠️ This step should only be completed once you are fully familiar with the platform and ready to use it operationally.

If you add inventory quantities and then dispense outside of Dispensary Tree, your inventory levels will be incorrect.

Understanding Inventory

  • Inventory refers to how much of each herb, premix formula, or product you have

  • Inventory is managed in the Inventory section (lots, quantities, transactions)

  • The Single Herbs, Premix Formulas, and Products sections define what you carry—not how much
